Hand off video and captions with a versioned manifest

An editor should be able to identify the right video, captions and open decisions without guessing which file named “final” is current. This exercise produces a small handoff manifest and catches a stale subtitle file after an edit. It requires a text editor and a folder you control; it does not require a Moyan storage feature or an AI subscription.

Define the handoff before exporting

Record a project ID, export version, intended destination, language, person responsible for the next check and unresolved decisions. Give each file a role. Keep the source recording separate from the edited export so a recipient does not accidentally publish the source. Check access with the intended recipient before sending a link; a filename alone proves neither access nor permission to use the material.

YouTube supports basic SubRip files (.srt) in plain UTF-8 and does not recognize their style markup. See its supported subtitle formats. This documents a particular caption format, not universal compatibility between editors. Test an actual import and playback in your destination.

Worked example: a fictional library demonstration

All names, files and timings below are synthetic. No media files accompany this article, and no upload or playback test was performed.

The caption draft deliberately leaves the opening second without text:

The intervals are 3 and 4 seconds, separated by a 1-second gap. They fit inside the fictional 12-second export. That arithmetic checks internal consistency; it cannot establish that the captions match speech, are comfortably readable or cover all relevant sounds.

Changed input: the opening is shortened

Suppose cut v04 removes the first second and changes nothing else. It lasts 11 seconds. The candidate caption intervals become 0–3 and 4–8 seconds. Rename the candidate file library-en-v04.srt, update the manifest and mark it timing review required. Do not relabel v03 as approved or assume that subtracting one second verifies the whole file. A later edit in the middle would require a different timing adjustment.

If v04 is present but its matching captions are missing, return an explicit incomplete handoff. Do not silently pair the newest video with the newest-looking subtitle filename. A recipient should be able to reproduce your version pairing.

Review and delivery

1. Open every delivered file and confirm that the intended recipient can access it.
2. Play the complete export with its paired captions. Check wording, names, timing and any meaningful sounds; resolve missing captions before calling the package complete.
3. Record who actually performed each check and when. Leave these fields unassigned until that happens.
4. Keep a short change note: “v04 removes the opening second; captions retimed, playback review pending.”

YouTube documents uploading subtitle files. Its automatic-caption guidance calls for reviewing and editing generated captions. Neither source establishes that this fictional package is accessible, licensed or ready to publish. For sensitive recordings, decide where they may be shared before uploading them to any service.
